WestGate Rental Policies and Procedures

Thank you for choosing to stay with Spectrum Lodging and WestGate. Spectrum  is committed to providing you with a pleasant and memorable experience. Please verify arrival and departure dates and number of bedrooms reserved. Contact us immediately if you find a discrepancy. Otherwise, it will be assumed correct.

 

Upon arrival you must provide identification and sign a Registration Card, a binding legal document, verifying that you are an adult who is at least 25 years of age and financially responsible for any damage made by parties present during your occupancy dates. Any reservation made under false pretense will result in eviction with loss of advance rent and/or all rent and associated charges.

 

The use of all facilities are at the risk of the user(s). Spectrum WestGate Management, LLC will not be held liable for any damage to vehicles, and/or personal injury while on property.

 EVENT AND NON-EVENT DAYS: 

“Event Days” are times of high occupancy in the city of Tuscaloosa for special events such as University of Alabama Sporting Events, Graduations, and other highly marketable timeframes. These dates are determined by Spectrum Lodging and may change at Management’s discretion. “Non Event-Days” are any dates and times not included in the “Event Day” dates.

PAYMENTS:

EVENT DAYS:

Reservations for 27 nights or less during “Event Days” as defined above require at the time of booking, a credit card on file to secure your reservation. Spectrum reserves the right to contact the guest prior to or upon arrival with any rate/fee adjustments that are found due to an incorrect reservation being made and reservation final amount due will be changed. We charge 100% of the reservation balance at the time of booking. Spectrum Lodging accepts traveler’s checks and all major credit cards.

NON-EVENT DAYS:
Reservations for 27 nights or less during “Non-Event Days” as defined above require at the time of booking, a credit card on file to secure your reservation. Spectrum reserves the right to contact the guest prior to or upon arrival with any rate/fee adjustments that are found due to an incorrect reservation being made and reservation final amount due will be changed. We charge a $99 Deposit and the reservation balance will be charged to the credit card on file the three days prior to arrival. Spectrum Lodging accepts traveler’s checks and all major credit cards.

CHARGES:
Among the charges found on your reservation are Rent, Cleaning Fee, Lodging Fee, and taxes. No refund is given for early departures. Unbilled nights are not eligible for refund. Weekly/Monthly rates revert back to Daily/Weekly rates if departures date changes.

 

CHANGES AND CANCELLATIONS:
Reservations are subject to the following changes and cancellation policies. No refunds will be issued inside the cancellation date for any reason including mandatory hurricane evacuation, illness, etc. WE STRONGLY RECOMMEND PURCHASING TRAVEL INSURANCE. RED SKY TRAVEL PROTECTION. False pretenses given will result in cancellation of reservations by Spectrum WestGate Management, LLC and appropriate cancellation fees will be charged to your credit card. All changes are subject to minimum stay requirements.

 

CANCELLATION POLICIES AND RATES

For All Paying Guest Reservations during Event Days 

  • Guests will be charged 100% of their reservation balance at the time of booking.
  • If a guest cancels or modifies their reservation before 120 days prior to their arrival, the guest will forfeit 50% of their rental rate.
  • If a guest cancels or modifies their reservation within 120 days of arrival, the guest will forfeit 100% of their rental rate.

For All Paying Guest Reservations during Non-Event Days 

  • Guests will be charged a $99 non-refundable deposit at the time of booking. This deposit payment will be applied to their total reservation balance
  • No additional money will be required on the reservation until 3 days prior to the guest’s arrival.
  • 3 days prior to arrival date, another payment will be collected so that 100% of the reservation total amount will be collected at that time.
  • If a guest cancels or modifies their reservation within the 3 day cancellation period, the guest will forfeit 1 nights rent plus applicable fees and taxes.

 

INFORMATION FOR YOUR ARRIVAL

 

HOURS OF OPERATION:
Spectrum Rental Office hours vary according to season. Operating hours are 9:00 AM until 5:00 PM year round. Hours may be extended during peak seasons, weekends and over certain holidays.

 

CHECK-IN:
Estimated Check-in time is 3:00PM. ***This time is not guaranteed and could be subject to change. . Every effort is made to prepare units for check-in at 3:00 PM daily but may be delayed due to our commitment to provide a clean unit that has been carefully inspected. Help us social distance by not arriving on-site until your check-in time*** Guests arriving will be required to provide identification and complete a Registration Card. Guests whose name is not on the reservation will not be allowed to check-in. Early arrival fee is $100.

CHECK-IN LOCATIONS:
Guests should check in at the Front Desk, which is located on property at 1150 8th St, Tuscaloosa AL, 39504. 

CREDIT CARD:
Guests arriving after business hours are required to check-in at the Rental Office the following morning by 11:00 AM. Guest is required to provide agent with a current credit card prior to occupying the unit to secure payment for all charges incurred by Guest. All additional charges that have been processed through the Spectrum Resorts Management will be charged upon checkout. Charges that do not appear until after checkout will be processed in as timely a manner as possible. Should Guest remain beyond paid rental period, Guest’s credit card shall be charged the applicable fees for that additional time.

 

PARKING:
Due to limited parking spaces, Spectrum can only allocate the allocated onsite parking spaces for each condominium. For more information, please contact the WestGate Front Desk.

All guest reservations are allotted the use of condominiums vehicle spaces per the Condo Owners Association. The number of spaces is determined by unit size. Additional public parking is available on 8th ST in front of the property.*

  • 1 Bedroom – 1 Assigned Space 
  • 2 Bedroom – 2 Assigned Spaces 
  • 3 Bedroom – 3 Assigned Spaces 
  • 4 Bedroom – 3 Assigned Spaces 
  • 5 Bedroom – 3 Assigned Spaces 

The City of Tuscaloosa regulates the public spaces on 8th ST, and may restrict access to public parking during game-day events at the Stadium

The following vehicle types are prohibited from parking on property or in any of our overflow parking lots:

  • RVs and campers (this includes Sprinter vans with hook ups)
  • Trailers
  • Buses
  • Boats and Jet Skis
  • Off road vehicles
    Any vehicle which, in the sole discretion of WestGate COA Management Team, is of a size too large for a parking space to accommodate.
 
 
GAMEDAY CATERING AND EVENTS: 
During Event Days as determined by the Condo Owners Association, The COA provides onsite catering and services for owners and their guests. As a Spectrum Rental Guest, you and your guests are assigned SkyGate Club Passes for their stay. Catering Menus will be placed in your check-in packet. The number of passes is based on the unit size as per the table below. Note that all food & beverage offerings and amenity seating at the SkyGate Club are first-come, first-served.
 
  • 1 Bedroom – 4 Passes
  • 2 Bedroom – 6 Passes
  • 3 Bedroom – 8 Passes
  • 4 Bedroom – 10 Passes
  • 5 Bedroom – 12 Passes

UNIT AVAILABILITY:
Spectrum makes every effort to keep reservations according to requested specifications whenever possible. However, such requests are not always possible to accommodate. In such cases where unit assignments are moved, substitutions will be as similar to that of the original accommodations, including size and location, where possible. Spectrum reserves the right to change unit assignments without notice. No refunds or reservation discounts will be given due to changes in amenities (i.e. grills in units, pools, hot tubs) or furnishings (i.e. bed sizes). Units are individually owned. 

 

HOUSEKEEPING:
Any housekeeping concerns that you have should be reported within two hours from check-in.

 

MAINTENANCE:
Any maintenance concerns that you have within your unit should be reported within two hours from check-in, where possible. Though every effort will be made to correct the working order of any in-unit appliances, air conditioners, TV’s, VCR’s, cable, etc. and/or resort amenities, including pools and hot tubs, we do not guarantee their availability or service. Pools are not heated. No adjustments to rate will be made due to maintenance issues, nor will any refunds be offered.

 

MANAGEMENT:
All Spectrum condominiums are individually owned. Spectrum manages these units on behalf of these owners. Consequently, we reserve the right to enter into a unit at any time for any maintenance or inspection need, or when showing to prospective buyers.

We reserve the right to refuse rental, or to discontinue occupancy if, in our judgment, your occupancy is detrimental to the property and/or other guests. No refunds or credit will be given in the event of eviction due to failure to comply with the property rules and regulations.

 

INFORMATION PRIOR TO YOUR DEPARTURE

 

CHECK-OUT:
Check out time is 12:00 PM. You may call or visit the Rental Office prior to 12:00 PM in lieu of checking out. Unauthorized extensions beyond this time will result in twice the amount of rental stated for each additional day according to published daily rates. Spectrum Management reserves the right to take possession of the residence in the event of non-payment and/or holdover. It is vital that checkout be strictly observed so housekeeping can prepare the residences for incoming guests. Late departure fee is $50.

 

CHECK OUT INSPECTION:
Immediately following the check-out date, the condition of your unit will be inspected, and a complete inventory check of the unit contents will be conducted. If the unit is in a condition that is inferior to what it was at check-in, excessively dirty and/or all contents are not accounted for, or any damage is caused, your credit card will be charged the appropriate amount for the damages and any fees to correct the damage.

 

CLEANING FEE:
A departure cleaning fee is charged for each stay. However, if the unit is unusually soiled such as stains on carpet, furniture, blemishes/gouges in wall(s), etc., your credit card will be charged the appropriate amount for the damages and any fees to bring the unit back up to the condition it was in upon your arrival.

 

UNIT CONDITION:
Spectrum requests each guest to take a measure of care with the residing unit. Upon departing the unit, we ask that you dispose of trash in the proper depository and load the dishwasher. Units will be inspected upon departure for cleanliness and damage. Units where excessive cleaning is required may result in additional cleaning fees being applied to your reservation. Damage charges will be assessed after departure and upon appropriate cost determination being made.

 

LOST & FOUND:
Spectrum is not responsible for items left in properties or common areas. Retrieved items will be returned at Guest’s expense.

 

SECURITY DEPOSIT WAIVER FEE:
Included with your Lodging Fee is a Security Deposit Waiver.  This fee pays for accidental damage only. Damages must be reported to the front desk prior to your departure. Spectrum will not be held liable for any loss or damage to any property owned by or brought onto our premises by any guest or persons accompanying them. Guests or persons accompanying them will be held responsible for damages to the residence they occupy for damage/loss of property if it is due to gross negligence or willful conduct.

 

ADDITIONAL INFORMATION

PHONE/INTERNET/TELEVISION SERVICE:
Free local calls, access to high speed Internet and television service are included in all units.

 

NO PETS AND NO SMOKING:
All Spectrum Managed units are non-smoking and pets are not allowed in any rental units. If evidence of smoking and/or pet(s) is discovered, violating guests will be subject to eviction and forfeiture of the entire rental payment, and your credit card will be charged to bring the unit back up to the condition it was in upon your arrival. Violating guests will be responsible for paying for the property to be sprayed for fleas (if a pet is found), the carpet cleaned and a deep clean (including laundering all bed linens and other upholstery and drapes) performed on the unit.

 

TRAVEL PROTECTION INSURANCE

 

Spectrum has partnered with Red Sky Travel Insurance to provide Sun Trip Preserver® coverage for our guests. Sun Trip Preserver provides cancellation and interruption services as well as emergency assistance and travel services. Protect yourself in the event of hurricane evacuations and family emergencies such as illness or death in the family. The travel insurance is optional and the cost is 6.95% of your total reservation stay. This premium is non-refundable after 14 days of purchase.
